01 · The first impression

You are being assessed before you are hired

The quote arrives as a spreadsheet with the column widths wrong. The revision lands as WhatsApp voice notes. Payments are tracked in a notebook. None of that is about your design, and all of it is being read as evidence of how the project will go.

A sectioned BOQ on your own letterhead, a receipt that arrives the same minute money lands, a portal that answers "where are we?" without a phone call - that is the same studio, presented in a way that invites a bigger brief.

02 · Positioning

How you present sets what you can charge

Two studios quote the same kitchen. One sends a figure in a message. The other sends a room-by-room breakdown, a clear scope, and a document that looks like it came from a business with a hundred of these behind it. The second studio is not cheaper, and is rarely asked to be.

Discounting is usually a symptom. When a client cannot see what they are paying for, price is the only thing left to argue about - so the fix is upstream of the negotiation, in what you hand over.

03 · Converting

Show the machinery and the doubt goes quiet

The unspoken question at every high-value pitch is what happens after the advance. Opening the portal in the meeting answers it without a word of reassurance: the milestones, the site log, the approvals, the ledger they will be able to see for themselves.

It changes the conversation from trust me to look. Clients who have been let down by a contractor before tend to notice that immediately, and they are exactly the clients worth winning.

None of this is theory. This software was built inside a working Hyderabad studio, to fix these exact problems, and it was used on live projects long before anybody was asked to subscribe to it.

The section above argues that showing a client the machinery is what wins the work. A page that only described that would be making the same mistake it is warning you about, so here is the thing itself.

Your client never sees a cost, a contractor or a purchase order. They see scope, progress, drawings, dates and what they owe - and nothing else. That boundary is enforced on the server, not by hiding buttons.

Not a pitch deck. A working studio.

This was not built to be sold. It was built because a Hyderabad studio was losing money in spreadsheets, and it ran that studio for years before anybody else was offered it.

Every awkward edge in this software exists because somebody hit it on a live job. That is a slower way to build a product and a much better way to end up with one that survives a Tuesday.

Your data, and your client's

Two separations matter here, and both are structural rather than a setting somebody can leave switched off.

One database per studio. Not a shared table with a column saying which studio a row belongs to. Your clients, your rates and your margins are in a database of their own, with its own credentials, which is why no query anywhere can accidentally show them to another subscriber.

Your client sees scope, not cost. The portal serves progress, drawings, dates, invoices and receipts. There is no endpoint for expenses, contractors, purchase orders or your ledger - they do not exist on that side of the wall, so they cannot leak through it.

  • A backup is a mysqldump. Leaving is a file, not a negotiation.
  • An audit trail records who changed what, on which record, from where.
  • Deletes are soft, so a wrong click is recoverable rather than final.
  • A licence lapse never locks you out - the worst state is read-only.

Questions people actually ask

The ones that come up before anybody pays, answered the way they were answered on the phone.

How long before we are actually working in it?

An afternoon. Your studio and its database are created when you subscribe, and the code in your email activates it. There is no implementation project and nobody comes to site.

What takes longer is your own data: team, rates and the catalogue you quote from. Most studios do that over the first week, on live jobs, rather than stopping to migrate.

Can we bring our existing BOQs in?

Yes - Excel and CSV import, section by section, and the sqft lines keep their areas rather than collapsing to a quantity of one.

Older completed projects are usually not worth importing. Start with the live ones.

What happens if we stop paying?

You go read-only. You can still sign in, open every project, print an invoice and take a payment. Nothing is deleted and nothing is held hostage.

Locking a studio out of its own client records over a billing dispute would be an unreasonable thing to build, so it is not built.

If we leave, do we get our data?

Your studio is one database and one folder. You get both. There is no export format to argue about and no per-record fee - it is a file.

Can we use our own domain?

Yes. Studios start at cloud.dleaps.com/subs/yourstudio, and a domain of your own can be pointed at it afterwards. Your documents and your client portal carry your logo and your colours either way.

Does our client need an app?

No. The portal is a web app that installs to the home screen if they want it there. They are invited by WhatsApp, with the link and passcode already filled in, and they sign in with their mobile number and a passcode.

We already use WhatsApp and Excel. Why change?

You would not, for one project. The cost shows up across a year: the quote rebuilt from scratch because the last one is in someone's downloads, the payment nobody recorded, the room that lost money and nobody noticed.

The honest test is the margin screen. If you cannot say what last month's kitchens actually made you, that is the gap this fills.
